Description
Responsibility The Receptionist cum admin for the Language Center will be responsible for managing the front desk, assisting students and staff, and supporting the administrative functions of the language center. This includes handling inquiries, managing class schedules, student records, communication, and ensuring smooth day-to-day operations of the center.
1.Reception and Customer Service:
- Greet and welcome students, parents, and visitors in a professional and friendly manner.
- Provide information about the language courses, programs, and schedules for prospective students and parents.
- Answer incoming phone calls, emails, and inquiries, providing accurate information or redirecting to the appropriate staff.
- Maintain a positive, helpful, and courteous attitude while interacting with students, staff, and visitors.
- Handle student registrations, inquiries about course offerings, fees, and schedules.
- Guide students in the enrollment process and assist with filling out required forms.
2. Administrative Support:
- Assist with preparing and maintaining student records, including attendance, grades, and course progress.
- Update and manage the class schedule, ensuring students are informed of any changes or cancellations.
- Coordinate with teachers and management to track class materials, assignments, and student performance.
- Organize and maintain office supplies, educational materials, and student resources.
- Prepare and distribute course materials, handouts, and other resources for students and staff.
3. Class and Student Coordination:
- Assist in managing class rosters, ensuring students are assigned to the correct courses.
- Communicate any class cancellations, reschedules, or updates to students promptly.
- Track attendance and follow up with students who have missed classes.
- Help organize student assessments, exams, and progress evaluations.
3.. General Office Support:
- Maintain a clean and organized reception and waiting area.
- Ensure all office equipment is working, including computers, printers, and phones.
- Assist in the preparation and execution of promotional materials, events, or student recruitment initiatives.
- Handle routine office duties such as photocopying, scanning, and filing important documents.
- Perform other duties as assigned by the management or senior administrative staff.
Required Skills and Qualifications:
- Experience in a receptionist or administrative role, ideally within an educational setting.
- Strong communication skills, both verbal and written, in English (additional language proficiency is a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
- Positive and approachable attitude, with the ability to deal with students, parents, and staff in a professional manner.
- Ability to maintain confidentiality, especially regarding student records and personal information.
- Customer service experience, especially in a school or language center environment.
